+## Introduction to Clockbook
+
+Clockbook is the only 100% free time tracking software on the market. It's so simple that you and your team can track work time with one click.
+

+### Time Tracker
+
+Everything in Clockbook revolves around time entries. You track time you spend working on things and then analyze workweeks in reports. Clockbook also lets you invite others so you can track and analyze time together.
+
+There are two ways you can create time entries in Clockbook:
+
+- Automatically, while you work
+
+    When you start working, type what you're working on and start a timer; when you finish, stop the timer and the time entry gets added automatically to your timesheet.
+
+- Manually, after you've finished working
+
+    If you don't want to bother with the timer (or you forgot to start it), you can manually add all the time entries at the end of your day. Simply type what you worked on, choose start and end time, and add the time entry.
+
+Time entries are more useful once you categorize them. Add a client, project, task, billability status, and custom tags to each time entry so you can better analyze your time (before they're available for selecting in the Time Tracker, you first have to define clients and tags in your workspace settings and create projects and tasks in Projects).

+- Detailed report is for when you want to directly edit time entries you've filtered.
+- Weekly report is for seeing who tracked how much time each week.

+## How to track billable time
+
+When you're charging by the hour, you need to keep track of time you spend working so you can know how much to charge your clients.
+
+In addition to tracking billable hours, you should also track non-billable time (eg. emails, Skype calls, preparing invoices, etc.). You can't have any sense of where you are financially if you don't know how long tasks really take.
+
+Clockbook helps you see how much billable vs non-billable activity you do and how that affects your earnings.
+
+### Workflow
+
+Let's say you have a new client and you want to track your billable rates. Here's what your Clockbook workflow would look like.
+
+### Track time
+
+- Start tracking time when you start working: type what you're working on, select the project, click $ to mark time as billable, and start the timer
+- Stop the timer when you stop working and the time will be added to your timesheet
+- When you continue working on something, press play icon next to the appropriate time entry to start the timer for that activity again.
+- When you're having a meeting with the client, start the timer, type "Meeting", choose project, and mark time as non-billable. By tracking non-billable time such as this, you'll have a more realistic picture of how much time you're really spending on the client (and not just the time you bill). You can also add a "meeting" tag so you can filter time entries by tags in Reports.
+
+## How to track time with a team
+
+In companies that do a lot of client work, everyone needs to track time. Then, managers can track how much time the company spends on each project, which is important for billing, payroll, and tracking profitability.
+
+Clockbook can show you:
+
+- Time each team member spends on a project
+- Logged activity of each team member
+- Total time invested in a project
+
+### Workflow
+
+Here's how you can set up Clockbook so your team can track time.
+
+Set up your workspace
+
+- If you run a small company, one workspace is enough. But if you're a bigger company, you can use multiple workspaces to keep things from mixing up (as each workspace has its own settings, members, time entries, and everything else). You can go to Workspaces and create a new workspace for each department or company subsidiary.
+- In workspace settings, upload your company logo and set up permissions. Depending on what's your company's privacy policy, you can make everything public or private. For example, you can limit project creation rights to only workspace administrators to keep things tidy or hide billable rates if that’s sensitive information.
+- Define groups (eg. designers, managers) so you can assign whole teams to a project instead of adding each person one by one; so when someone arrives/leaves, you can just add/remove them from the group instead of going through each and every project.
+- Define tags so people can categorize time entries with the type of activity they're doing. Then, you can run reports and filter by tag if you want to know how much time activities take.
+- Add clients. If you're not in a client business, you can use this for something else (eg. some activity) to make categorization easier as all time entries are categorized by client and project, where a project can have one client but a client can have multiple projects.
+
+### Invite your team
+
+- Invite users by going to Team section, entering emails for each team member, and adding them. Then, they'll get an email with an invitation to your workspace. But before they can accept it, they'll need to sign up and create a Clockbook account (the email with which they create an account and the email you used to invite them need to be the same). Once they have their own Clockbook account, they'll get a notification, asking them to join your workspace. Once they accept, they can switch workspaces and start tracking time.
+- Set who is belongs to what team in the Team section. A person can be in multiple teams or in none. You can also set personal billable rates if you charge clients different rates, depending on who works on what (eg. a senior developer might have a higher rate than a junior).
+
+### Set up projects so people can track time
+
+- Create a project, assign client, and add tasks (and assign people to them if needed) so people can track time against projects and tasks.
+- Add team members to private project. Everyone can access public projects, but if they're private, users have to be manually assigned. You can add individual members one by one, or in bulk via groups.
+- Now that all is set up, your team can start tracking time. They can start a timer or add time manually at the end of the day. To each time entry, they should add a project/task, billability status, and describe what they're working on in one short sentence. They can also add tags if you have some specific workflow for organizing data (e.g. use tags to describe type of activity).
+
+### Use reports
+
+- To invoice your clients at the end of the month: go to Summary report, filter out by client and billability, select “This Month” for the time period, group time entries by project and subgroup by task (or time entry), and export the results. Or, if your client wants to check how much time you've worked at any point, share the report and send the link to your client so they can generate reports on-the-fly.
+- You and your team can use the Detailed report to see time entries that miss data, eg. entries that are missing description or a project, and fill the missing data. This will make your reports much more accurate. You can filter entries (just like in Summary report), the only difference is that you can directly edit time entries in the Detailed report (while in Summary report you can just view and group them).
+
+## How to track project profitability
+
+If you charge a flat rate for a project, you still need to track time so you can see how accurate your estimates are and whether the project is profitable. By knowing the real length of the project, you'll know if you're charging enough or if you're losing money.
+
+For example, you might tell a client you need 50 hours for a project, 20 for design and 30 for coding. So you arrange a fixed price, thinking you'll finish it in under 50 hours. But how much time will you really need? The bigger the project, the greater the error will be.
+
+But if you track time, you'll know exactly how much time each activity takes and whether you made money on a project. Let’s say you finish the project in 70 hours, which is 20 hours more than estimated. You can negotiate with the client for a higher price or less work. But even if you charge as if you had worked 50 hours, at least you’ll estimate better in the future and won't lose money.
+
+### Workflow
+
+Let's say you start a new fixed-fee project. Here's an example of what your Clockbook workflow could look like.
+
+Before the project starts
+
+- To have time entries categorized, first define the client's name in your workspace Settings > Clients. You can also define tags with the type of activities (eg. "project management") so you can filter time entries by tags and track how much time each activity takes.
+- Create a new project and select the client.
+- Add tasks to the project (eg. Design, Development)
+- Use task-based estimate (eg. Design task: 20h, Development task: 30h) or enter a manual estimate (eg. 50h for the whole project)
+- Set up billable rates, as well as labor cost rates
+
+### After the project starts
+
+- When you track time, make sure each time entry has a project and a task.
+- When you hit some milestone (eg. finished design), check project status for estimated vs tracked time. If you're way over your original estimate, you might want to talk to the client about adjusting the budget, requirements, and timeline.
+- Once the project ends, go to Summary report and filter entries by the project. Then, export the report in CSV and import it to Excel where you can: better analyze data, see what activities took longer than planned, analyze why, and set better estimates (and prices) in the future.
+- In reports, view either amounts for billing, cost, or profit (the difference between the two)
+
+## How to track team productivity
+
+The bigger your company is, the harder it gets to keep track of everything. With Clockbook, you can track where each team and person spend their time, analyze data, and come up with improvements.
+
+For example, you might notice that some internal project took 100 hours, which is way more than you estimated. Once you know that, you can ask the team why that is, reevaluate priorities, and come up with a better plan. You might decide to put more people on a project or cut some activities so you finish on time and within budget.
+
+### Workflow
+
+Here's how you can track and manage your team's productivity in Clockbook.
+
+- Set up workspace, tags, groups, and projects, and then invite team members so they can start tracking time.
+- As your team works, check the Team Dashboard to see who tracked the most time and which projects are the most active.
+- Run a Summary report at the end of each month, quarter, and year to analyze where you spend time. You can analyze internal processes, see what type of work takes most of the time, and think about what you can do to optimize company productivity.
+- Run a Detailed report and filter entries that are missing a project or a tag so you can directly edit them to make reports more accurate.
+- Go to the Weekly report at the end of each week and group time entries by user to see if everyone filled their 40 hours/week quota.
+- Save a report with filters you frequently run by using the share report option, so you don't have to set filters each time you need a specific report.
+- Export a report in CSV and import the CSV into a spreadsheet so you can apply conditional formatting to better analyze data.
+- You can share a report with your payroll staff so they don't have to chase each person for data - they can just visit the link, see who tracked how much time, and cut the paycheck.
+- Define billable rates in Teams section so Clockbook can calculate how much each employee costs you (based on the billable rate you defined). Once you see how much each person costs, you can compare the cost to how much value you get and see if you can use their skills better on a different project.
+- Once a project is about to end, you can evaluate how much time you've spent in project status, multiply the time by each employee cost, and compare the number to how much profit you actually made.

+By default, everyone in your workspace can see all time entries on the workspace. Once you have extra features, you can prevent regular users from being able to see other people’s time entries in the workspace.
+
+Hiding time entries from other users in your workspace is an extra feature, which you can enable by upgrading your workspace to any of our paid plans. You can try out the feature for free by activating the free 7-day trial (no credit card required).
+
+You can choose if regular users can see:
+
+All tracked time: regular users will be able to see the time entries made by other people on every project
+Only time on public projects: regular users will be able to see the time entries made by other people on public projects
+Only their own time: regular users will only be able to see their own entries
+
+You can also choose whether users can access Team Dashboard and if they can access project status tab (so they can track progress and how much of the estimate remains). If users can access status but can't see billable rates, they'll only be able to see progress and all amounts will remain hidden.
+
+This setting doesn't affect project managers. Project managers, even though they're regular users, can see all tracked time on projects where they have the manager role.

+## How are Activity Levels Calculated in Clockbook?
+
+Activity levels in Clockbook are calculated based on the percentage of keyboard and mouse strokes over the total time tracked for a specific time period. The activity levels feature lets you know exactly how productive you or your team are when tracking time. You may use this data to quickly address team efficiency on the spot.
+

+## Calculating Activity Levels
+
+Below is Clockbook calculates activity levels:
+
+1. For every second, we label the user as active or inactive. A mouse movement or keyboard stroke = active. No keyboard or mouse = inactive.
+
+2. We add all of these numbers up and give a total % of activity for that 10-minute segment using this equation: Active seconds / 600 = activity rate %
+
+3. Also, we track if the user was active or not. By default, 20 minutes without inactivity triggers an inactive status, in which case the desktop client gives the contractor the option of removing that time from their log because they were inactive.
+
+Here’s an easy way to think about how we calculate activity rates:
+
+If you have 100 seconds of tracked time, and 20 seconds of idle time (no mouse or keyboard movement), you’d have an 80% activity rate.
+
+Those 100 seconds might look like this:
+

+**What activity rates mean**
+
+Depending on someone’s job and daily tasks, activity rates will vary widely.
+
+Jobs involving data entry, design, development, and other high mouse and keyboard activity will tend to have higher averages.
+
+Team members who spend more time in meetings, doing more research, or participating in video chats will tend to have lower scores. It makes sense; they’ll be moving their mouse and keyboard less if they’re primarily talking or reading.
+
+That’s why people with 75% scores and those with 25% scores can often times both be working productively. If a usual day for your team involves checking email, reading articles, or having calls with one another, they might have an average activity rate of around 50%.
+
+Instead of using activity rates as a one-time snapshot of productivity and making a decision based only on them, our recommendation is to use these as trends.
+
+Look for patterns, and if a continually declining activity rate shows up, have conversations. The idea of activity rates is to keep a dialogue going and improve processes and workflow over time.
+
+At Clockbook, we discourage the use of quotas or scoring based on activity rates. Frustration can emerge when managers and team members aren’t clear on what’s expected of them, so an open dialogue can keep work moving.
+
+Clockbook does NOT store individual keystrokes that are entered (there is no keylogging) or where your mouse clicks. We simply track the number of seconds we detect keyboard or mouse activity which includes mouse move, mouse click, mouse wheel, and keyboard presses. We don’t store specifically what was done, only that there was some activity during a second.

+- **Date format** - you can change it Profile settings (DD/MM/YYYY, MM-DD-YYYY, etc.)

+## Notes

+You can have an unlimited number of users in Clockbook, so your whole team can track time.
+
+Before your team can start tracking time, you have to invite them to your workspace.
+
+**Inviting users:**
+
+Click Team in the main sidebar on the left
+
+1. Click on Add new member in the upper right corner
+2. Enter the email of the person you want to invite
+3. Click Add. The person will then appear and it will say "(not joined yet)" before their name until they accept your invite
+
+To invite multiple users at once, enter all the emails and separate them with a comma (eg. some@domain.com, some@clockbook.com). If you're using a free plan you can enter up to 5 email addresses at the same time (but you can invite an unlimited number of users in total); and if you're on a paid plan, there's no limitation.
+
+Only admins can invite new users to a workspace and manage their details (set their billable rate, set as inactive, and assign to groups).
+
+If you wish to change someone's name (or any other detail), you can do that with the Control users account feature.
+
+If you don't wish your members to receive the email and first set everything up, you can uncheck "Send email invite". Then, when you're ready, can manually invite users.
+
+## Manually inviting users
+
+When you've added a member, but they haven't receive an email. there are two ways to send them the invite:
+
+- Click on three dots next to them and choose "Send an invite email"
+- Click on three dots next to them and choose "Copy invite link" and send it to them personally
+- Members can sign up on their own and they'll automatically be part of your workspace (if they have a pending invite)
+
+Note: if a person already has a Clockbook account, they have to log in and accept the invite through via the bell notification.
+
+## Accepting the invite
+
+If a person doesn't have a Clockbook account, it will say "(not joined yet)" next to them and they need to check their email and create account through the invitation.
+
+If a person already has a Clockbook account, it will say "Their Name (not joined yet)" next to them and they need to accept the workspace invite through the notification.
+
+1. The person you invited will receive an invitation email with the activation link they need to click
+2. After clicking the link, they need to enter the password they want to use
+3. The invited person can then log in and start tracking time for you
+4. Alternatively, if a person is invited to your workspace (and they don't have a Clockbook account), they can sign up on their own and they'll automatically be part of your workspace if they have a pending invite to your workspace.
+
+If a person already has a Clockbook account, they will receive an email and a notification in Clockbook. In that case, they have to open the notification from the top right corner and click Accept. Then, they'll be able to switch to your workspace and start tracking time for your company.
+
+## Deactivating and deleting users
+
+When you delete or deactivate a user, they won't be able to see and track time on your workspace anymore. The difference between deleting and deactivating is that you can activate a user whenever you want, without them having to accept workspace invitation. But if you delete a user, they won't appear on your Team page and, if you want them back, you'll have to go through the whole invitation process again.
+
+To deactivate a user:
+
+- Go to Team page
+- Click three dots next to the person you want to deactivate/delete
+- Select "Deactivate"
+
+Once the user is no longer active you will be able to delete it. To delete a user:
+
+- Go to Team page
+- Click three dots next to the inactive user
+- Select "Delete user"
+
+Note: users can only be deleted once they are deactivated.
+
+The time entries of deleted/inactive users will remain but you won't be able to filter reports by them. You can see their time entries in the e.g. summary report when you group it by user.
+
+To reactivate a user:
+
+- Go to Team page
+- Select Show all or Show inactive users in the drop down menu
+- Select "Activate"
+
+Once a user is activated, they can log in and track time as usual (although they won't receive an email or a notification that they've been activated).
+
+All inactive users' names will be strike-through.
+
+## Making someone Admin
+
+To make someone an admin, go to Team page, click on +Role next to the person you wish to make admin, tick Admin checkbox, and save.
+
+To remove them as admin, untick the checkbox Admin. Only workspace owner can remove admin role.
+
+Note: the difference between Admin and Owner is that only the owner can remove the Admin role from someone, transfer ownership to another user, and delete the workspace.
+
+## Making someone Owner
+

+## Defining cost rates
+
+In order to see and define cost rates, you first have to enable cost rates in workspace settings.
+
+Cost rates work the same way as [billable hourly rates](# 'billable hourly rates') and you can define them right next to billable rates.
+
+Difference between billable and cost rates:
+
+- **Cost rates are always applied**, no matter if an entry is billable or not
+- **You can clear cost rate -**, eg. for projects that don't incur costs
+
+## Seeing costs and profit in reports
+
+When you run a report, you can choose whether you wish to see:
+
+- Billable amount - what you charge clients
+- Cost amount - what you pay your team
+- Profit - the difference between billable and cost (can be negative if costs are greater than income)
+
+This lets you track and compare costs and profit across dates, projects, and users in total (via Summary report), as well as see profit and cost for each individual time entry (via Detailed report).
+
+Exports follow what you're seeing in the interface. For example, you can set "Show cost" in a report, export PDF, and send it to payroll; or you can set "Show amount", export PDF, and send it to clients.
+
+If you're exporting a report in CSV or Excel:
+
+- **"Show amount"** will give you "Billable amount" and "Billable rate" for each entry
+- **"Show cost"** will give you "Cost amount" and "Cost rate" for each entry
+- **"Show profit"** will give you everything: "Billable amount", "Billable rate", "Cost amount", "Cost rate" , "Profit amount", and "Profit rate" (caclulated difference between the two rates)

+You can prevent employees from editing their old time entries or adding new entries to past dates by locking timesheets. Once you lock timesheets, you can safely send your reports to your clients or accountant knowing the data will stay accurate.
+

+## Locking timesheets
+
+1. Open Settings from the left sidebar
+2. Switch to the Permissions tab
+3. Toggle "Lock entries" switch to activate
+4. Specify a date before which all time entries will be locked
+5. Changes will be automatically saved upon selecting the date or toggling the "Lock entries" switch
+
+When entries are locked before, for example, April 15th, it means that regular users won’t be able to:
+
+Edit any time entries with the date April 14th or earlier
+
+Add new time entries with the date April 14th or earlier
+
+Locking timesheets doesn't affect administrators. Admins can still edit and add time in the locked period.
+
+To unlock, move the switch back, and everyone will be able to edit all their time entries and add new ones to any date they want.
+
+If you lock timesheets each month and have users across timezones, you should set the lock to the 2nd of each month. If you set it to 1st of the month, your team that's in the later timezone won't be able to enter dates for the last day in the previous month due to timezone difference.
+
+## Automatic lock
+
+Set automatic lock and the lock date will get auto-updated each day, week, or month so you don't have to do it manually anymore.
+
+## How to set automatic lock
+
+1. Go to workspace settings and switch to the Permissions tab
+2. Switch "Automatically update lock date" to ON
+3. Select lock frequency (weekly, monthly, older than x days/weeks/months)
+
+When selecting the Weekly option, you have to select two days: when the lock date will get updated (eg. Wednesday) and what is the first day of the week in your company (eg. Monday). This way, when a new week starts (on Monday), your team can still add their missing hours for the previous week before that week gets locked (which happens on Wednesday).
+
+When the automatic lock is enabled, you won't be able to manually set a lock date.
+
+When you set "auto-update lock date older than 1 day", it means that at every end of the day, the lock date will be automatically updated so users cannot edit their yesterday's hours.
+
+The daily lock is updated every day at midnight, using the workspace owner's time zone.
+
+If you lock timesheets monthly and have users across timezones, you should set auto-lock to the 2nd of each month - otherwise, your team that's in the later timezone won't be able to enter dates for the last day in the month.
+
+## Locking today's time
+
+You can't lock current or future dates.
+
+To prevent people from adding time manually for today or the future (or changing the start/end time of their entries), you need to enable the Force timer.
+
+## Locking expenses
+
+If you're using expenses, keep in mind that lock date also affects expenses, meaning regular users won't be able to add or edit expenses for locked dates.

+There are two types of managers in Clockify:

+- Project manager: can view all tracked time on their projects, and edit everything on their projects (eg. set estimates, add tasks, manage project access, etc)
+- Team manager: can view all tracked time of their team members and groups, edit their team's time (if enabled), and [approve](# 'approve') their submitted timesheets

+"Hide page" feature affects managers also. Managers can always see Reports, plus project manager can see Projects page.

+## Giving manager rights
+
+To make someone a manager:
+
+1. Go to Team page
+2. Click on +Role next to the user you wish to make a manager
+3. Check whether you wish them to manage projects or team members
+4. Select which projects/members they should manage
+5. Click Save
+
+It's also possible to give someone **Project Manager** role on the projects page when you click on the Access tab of a project.
+
+Team managers receive email notifications when their members submit timesheet for approval, request time off, track too much time, etc.
+
+If you have Admin role and wish to receive email notifications for certain members, you need to assign yourself team manager role for those users (so you have admin and team manager role).
+
+Team managers can also edit their team member's time entries if you enable it workspace settings (Permissions tab > Who can edit time for others: Admins and team managers).
+
+You can also assign [groups](# 'groups') to a team manager. This makes administration easier as you can simply assign team manager a group, and when a new person joins Clockify, all you have to do is add them to the group and the manager will automatically get manager rights for them.
